Borrowing Documents
Requesting from Storage
The Smart Soft system takes care of all the work for you when you need to request a file or box from your offsite storage provider. Before beginning your request ensure you have your offsite storage provider details entered for the automatic email. Click here for instructions.
These instructions are for individuals who are borrowing files that are stored offsite and requesting them to be delivered to the school.
Step 1
To borrow a document, follow the same procedure as set out in Search for Documents - Click here for instructions. Once you have found the document click on the title.
This will bring up the file details.
Step 2
At the bottom of the page click on borrow, it will then bring up the next window.
Step 3
In this window you will set who the borrower is, whether you require just the file or the whole box, if you need the physical copy or a scan of the file and any notes we should be aware of. It is handy to include extensive notes to assist with your document search if applicable. Please be aware that charges may apply for the scanning and/or retrieval of documents from the offsite storage provider.
We will then be sent an email advising of the request and will be actioned for you.
Returning Document
To be picked up and send back to Storage
Step 1
To return a physical file and/or box back to the storage facility, click on the "Burrow" Tab and then on "Current Borrowings"
Step 2
Click on the file/box to be returned and click on "Return". We will then be sent an email advising of the return request and will be actioned for you. If you wish to change the status of the document to "Permanent Borrow" click here and follow the steps.
Step 3
Once the document has been returned, it will no longer show in the "Current Borrowings", this information will be moved to "Past Borrowings". To see this information, click again in the "Borrow" tab and then "Past Borrowings". Select the dates that the borrowed document was originally borrowed and click search.
