If you received an email from us titled "Archive Destruction Request Submitted" that means you are the authorised person in a Victorian public school to authorise destruction of records. Principals are the authorised persons for destruction in Victoria.
The email will look like the below image and it should have attached the destruction list for you to review before approval or refusal.
In most cases these records will have reached their minimum retention periods and if they are no longer required by your organisation they may now be destroyed. It is important prior to approving the list to review the attached document detailing what items are set to be destroyed.
The email lists who has created the destruction list and we recommend speaking to that person if you have any concerns.
- If the list looks correct, you can proceed by clicking the "Destruction Approved" button in your email. This will approve the list in the system for the final step in the destruction process.
- If the list needs to be corrected, click the "Destruction refused" button in your email. This will deny authorisation for destruction and will require the list be restored and a new list created. Speak with the person who created the lsit when you deny approval to ensure any new lists are created correctly.
Note: You must click one of the two options otherwise the list will remain listed as "pending" and your documents will not be destroyed.
