Onsite Storage


*If your archives are in an offsite location keep scrolling.


Step 1


Click on the orange "Settings" tab on the upper right-hand corner of the page.



Step 2


Click on the "Storage Locations / Types" tab on the left-hand side of the page.


Check locations/types



To check the locations/types click on the name of your location. This will show you the range and the capacity of the location chosen. This option also lets you rename your location or even delete it. 


  • Range: Box numbers. E.g. in this example we have boxes from 1 to 60, this could be outers or inners. 
  • Capacity: How many boxes are stored in each box. For example, if you are using a Smart Stack system where an outer box contains 4 inner boxes, then the capacity should be 4. If you are using our inners in a compactus or in shelving, then the capacity should be 1.
  • Re-use: This gives us the opportunity to use boxes once they are empty. If we have this option disabled once a box is emptied it cannot be used again. 

Expand the Range 


To expand the range or add more boxes to the system. Click on "Edit".

Then, adjust the range end to reflect the new number range. E.g. if you are adding 10 more boxes change the below range end from 60 to 70. 



Add Archive Location



To add a new location click on " + Add Archive Location". 


A pop up window will show where you can input the following fields:


  • Name - this is the name of the room (e.g. archive room, storage container, etc)
  • Range start - this is the next box number you are starting with in this room. If you have no other boxes in storage, then you should start with number 1. If you are adding a new room that is full, then the range start number should be continuing on. (e.g. your archive room has boxes numbered up to box number 56, and your new storage room named "office Cupboard" would then start from box number 57)
  • Range end - this is the total number of boxes in this location. (e.g. if you have 10 boxes, then the last number will be 10. If you started at box number 57, then your end number will be 67)
  • Capacity - how many boxes are stored in each box. For example, if you are using a Smart Stack system where an outer box contains 4 inner boxes, then the capacity should be 4. If you are just storing individual boxes, then the capacity should be 1.


Then click save.


Offsite Storage


If your archive is stored in an offsite facility then your location range and capacity will be a bit different. You will not have an actual limit as to how much you can store, it will only depend on the price the storage provider charges for a determine number of boxes. 





The range will be different as well, this will be marked as barcodes on the archive boxes you will be filing the documents into. To get the barcodes and correct archive boxes contact your storage provider. Place the barcode on the archive box and when you create a document in the software instead of box number enter the barcode you just placed in the box.
